We are seeking a Safety & Compliance Administrative Assistant to support our Safety & Compliance department who will assist in maintaining regulatory compliance and safety standards by performing administrative duties associated with document storage, reporting, training record management, and scheduling.
Requirements
- Maintain and organize digital and physical files related to safety and compliance
- Schedule and track employee safety training, certifications, toolbox talks, tailboards, LMS course completions, and other compliance documentation
- Coordinate internal and third-party training events, invites, and renewals
- Support the onboarding process by gathering and storing safety & training documentation, coordinating trainers, and ensuring proper record keeping
- Input and maintain data in safety management systems (e.g. ISNetworld, Avetta, etc.) and customer-specific portals (e.g. OneVision, Pathwave, Unify.CMS, etc.)
- Assist with preparing reports, audit responses, and other compliance documents
- Work with Safety Professionals to produce any required training documentation, safety reports, or other records requested
- Assist with incident reporting and investigations by organizing records, compiling form entries, and ensuring confidentiality of files
- Assist with communications like bulletins, newsletters, alerts, and physical or digital signage
- Assist with fleet safety & compliance administrative functions to track compliance with DOT regulations and standards
