Administrative Assistant I

Plains All American is looking for an Administrative Assistant to join its operations team at the Dilley, Texas field office. The ideal candidate will have a diverse skill set and ability to be flexible and work under pressure while attending to matters of a routine nature under limited supervision.

Requirements

• Prepare and file reports generated through the office dealing with budget forecasting, daily/weekly volume reports, overtime reports and any other reports or correspondence as required by Corporate Office and/or Managers and Supervisors.
• Order equipment and supplies as needed.
• Receive and process correspondence going in and out of the office.
• Code and process invoices in company bill-paying system.
• Organize and maintain all filing of correspondence, reporting and inspections.
• Maintain handbooks and procedures regarding safety and regulations and assist the Manager with compliance assurance.
• Ensure all timesheets are completed and reported accurately according to Company policy.
• Serve as receptionist when needed and handle and/or route incoming telephone calls.
• Schedule employee training and assist with travel details for employees.
• Perform various duties to maintain the Company’s building, facilities and equipment appearance as neat and orderly.
• Provide assistance with any other tasks as assigned.
