The Executive Assistant provides day-to-day administrative support to ensure smooth office operations and responsive customer service.
Requirements
- Answer and route telephone calls, take accurate messages, and provide responsive customer service.
- Track incoming and outgoing correspondence, maintain logs, and support timely follow-up.
- Coordinate travel arrangements, including scheduling, reservations, and related documentation.
- Perform general clerical and administrative support (filing, scanning, copying, mailbox monitoring, etc.).
- Plan, schedule, and support meetings, conferences, trainings, and other office events (including agendas, attendee coordination, and logistics).
- Complete data entry tasks and assist with document preparation, formatting, and concurrences/approvals.
- Support report preparation by conducting basic research, retrieving information, assembling materials, and drafting preliminary content.
- Assist with office move coordination, including scheduling, tracking, and communications.
- Deliver and retrieve office documents as needed.
- Maintain document tracking logs and ensure records are accurate and up to date.
- Perform other duties as assigned.
