The Office & People Experience Coordinator is responsible for overseeing the end-to-end employee experience in our HQ office, ensuring our space is hospitable and accurately reflects our core values. Reporting to our Senior Manager, HRIS & People Operations, you will be the go-to person for all office logistics and be an active member of the People + Culture team, supporting a variety of day-to-day tasks.
Requirements
- Daily Office Audits: Conduct comprehensive daily walkthroughs to guarantee all areas, including kitchens, conference rooms, and common spaces, are clean, organized, and presentable.
- Kitchen & Pantry Management: Maintain a high standard of hospitality by managing and restocking all beverages, snacks, and supplies.
- Meeting & Event Support: Facilitate on-site meetings by setting up rooms with required materials and partnering with IT to ensure seamless TV and Zoom functionality.
- Catering Coordination: Manage all team and office-wide catering, coordinating with Executive Assistants for department needs for all-hands events.
- Onboarding & Offboarding Logistics: Support the People & Culture team's employee lifecycle programs through managing tasks for new hire onboarding, employee offboarding, and day-to-day employee inquiries.
- Employee Engagement & Community Building: Champion a vibrant workplace atmosphere by facilitating in-office social gatherings and team celebrations.
- Mail Management & Digital Archiving: Receive, sort, and distribute all incoming mail.
- Finance Support & Records: Manage the secure receipt of physical checks via mail. Process weekly deposits using the check scanner.
- Vendor Management: Manage Olo’s office-related vendor list and contracts, track renewal dates, and facilitate renewals as appropriate.
- Move-In Coordination & Setup: Act as the primary on-site lead for the final phase of our office relocation, focusing on successful move-in, set up, and creation of office-related processes.
